Managing Stock List

This guide walks you through the key features and actions available in the Stock List in Machineric.

The Stock List is your central workspace for managing machines throughout their entire lifecycle - from pre-stock valuation to active sales, auctions, and archived units. It gives you full control over visibility, actions, and performance across your inventory.

You will learn:

Step-by-step Instructions

Accessing the Stock List

  1. Log in to your Machineric account.

  2. Navigate to the Stock List from the toolbar.

💡 Tip: Alternatively, click your company logo to be taken directly to the Stock List.


Switching Between Stock Views

By default, the Stock List shows all active machines. From the Stock List, you can switch between different machine states:

  • Active machines

  • Sold units

  • Pre-stock units (for valuation and inspection)

  • Shared machines (through stock share)

  • Archived units

This allows you to separate live inventory from machines still under evaluation or no longer active.


Searching for Machines

Use the search bar to find machines using any keyword.

For example, search by:

  • Machineric ID

  • Brand or model

  • Registration number

Click enter when you are done typing.


Using Filters for Advanced Search

For more detailed searches, you can configure and save filters.


Click Filters to open the side panel.

Select the criteria you want to filter by, for example:

  • Category and brand

  • Sales contact

  • Responsible user

Adjust the filters to be as detailed or minimal as needed.


Saving Filters

To save a filter:

  • Check the Save filter box.

  • Give the filter a name.

  • Choose whether the filter should be:

    • Public (visible to everyone in your company), or

    • Private (visible only to you).

Click Save and Search.

The saved filter will appear in the Saved Filters dropdown.
To return to the full stock list, click Clear.


Sorting the Stock List

Click the sort icon next to any column header to change the order of machines.

The list updates immediately based on your selected sorting logic.


Customizing Columns

To control which columns are visible:
Click the gear icon to open Manage Columns.

  • Uncheck a box to remove a column from the list.

  • Drag columns using the handle to rearrange their order.

This allows each user to tailor the Stock List to their workflow.


Using Machine Actions

Each machine has a three-dot menu with quick actions:

  • View & Edit – Open the machine details page

  • Duplicate – Create a copy of a machine

  • Change Sales Channels – Add or remove publishing channels

  • Manage Sales Contacts – Update assigned sales contacts

  • Add to Auction – Include the machine in an auction (if enabled)

  • Generate QR Sticker

  • Generate PDF Offer

  • Create Email Offer

  • Update Template – Publish recent changes across channels

💡 Tip: Many daily tasks can be completed directly from the Stock List without opening the machine details page.


Converting Machine Categories

If a machine is listed under the wrong category:

  • Click Convert from the three-dot menu.

  • Select the correct main category, mid category, and sub-category.

  • Click Save to apply the changes.


Deleting a Machine

To remove a machine from the Stock List:

  • Click Delete from the three-dot menu.

  • Confirm the action.

‼️ From April 2026 the machines can no longer be deleted. They must be archived by changing the machine status.


Best Practices

  • Use pre-stock to keep valuations and inspections separate from live inventory.

  • Save filters for frequently used searches.

  • Customize columns to focus on the data most relevant to your role.

  • Use quick actions from the Stock List to save time on daily operations.
