Listing a Machine

This tutorial guides you through adding a machine to your inventory and configuring the machine listing successfully.

Step-by-Step Instructions

Adding a Machine

  1. Log in to your account.

  2. Click on the ADD MACHINE button in the top navigation bar.
    This will open the category tree.

  3. Select the correct categories:

    • Choose the main category.

    • If applicable, choose the mid-category.

    • If applicable, select the subcategory.

    ⚠️ Tip: Forward any missing categories to Support before adding machines to avoid delays.

  4. Click CREATE MACHINE.
    You will be taken to the Machine Details page.


Configuring Machine Listing

When you create a machine, you will be taken to the Machine Details page.

There are no mandatory fields, but the more comprehensive your information, the better the visibility, recognition, and trust your listing will generate across sales channels.


1. Sales Information

Fill out the Sales Information section first:

  • Pricing:

    • To add a price excluding VAT, leave the VAT box unchecked.

    • To add a price including VAT, check the VAT box.

    • If the price has changed, you can display the new price alongside the previous one to highlight updates.

  • Currencies:

    • Your default currency is set automatically.

    • To add more, open the Alternative Currencies dropdown, select the desired currencies, and configure pricing just like before (including or excluding VAT, previous price if needed).

  • Rental Options:

    • If the machine is available for rent, check the rental option.

    • Add rental price, period, operator inclusion, and previous price if needed.

    • To offer rental only, uncheck the sale option; keep it checked to offer both sale and rental.

  • Machine Status:

    • Click the Status field and select from preconfigured options (e.g., In stock).

    ⚠️ Tip: Statuses can be personalized with the help of Support.

  • Comments:

    • Add a short comment if needed; if enabled, it will appear in the listing title.

  • Responsible User and Sales Contact:

    • Choose the user responsible for the listing, preferred sales contact, and machine location.


2. Machine Description

Use the Machine Description field to add a detailed, keyword-rich description.

  • Translate descriptions into supported languages to reach a broader audience.

  • This information improves SEO, visibility, and is shared across sales portals automatically.


3. Parameter Fields

Following the description are fields specific to the machine’s category. These help clarify the machine’s specifications and make the listing more appealing.

You can add comments or images to all parameters (e.g., VIN or odometer) to give buyers a clearer view of the machine’s condition.

To add photos and comments:

  • Click the text icon to add a comment, translate it, and click save.

  • Click the image icon, select an image, and click save.


4. Sales Channels

  • Go to Sales Channels to select where the machine should be published.

  • All listing data is shared automatically with selected channels.

  • Pricing can be adjusted for some channels separately if needed.


5. Private Notes & Documents

  • In the Private section, view private images and add internal comments.

  • Upload documents with status and comments for internal tracking.

  • Upload machine-specific PDFs (inspection reports, offers, etc.) for team access.


6. Managing Images & Videos

  • Images:

    • Click Manage Images to upload public and private images.

    • Public images are visible to customers.

    • Private images are visible only internally (Private section).

  • Videos:

    • Click Manage Videos, paste video links (e.g., YouTube), and click Add.

    • Videos help increase visibility and engagement.


7. Financials

  • Track costs and incomes under the Financials tab.

  • Click Add More to enter details:

    • Default is income; click the minus icon to register a cost.

  • Entries are saved automatically.

  • Accurate financial entries ensure correct profit margin calculations.


8. Auction Log

  • If the machine is part of an auction, check the Auction Log section to see bidding activity.

Best Practices

  • Provide comprehensive information for better visibility and trust.

  • Use multi-language descriptions and keyword-rich content to maximize reach.

  • Upload images, videos, and documents to improve presentation and buyer confidence.

  • Maintain accurate financial data for reliable profit margin tracking.

  • Keep sensitive information private using internal notes and private documents.
