Pre-Stock Feature

Using the Pre-Stock feature in Machineric allows you to evaluate machines before purchasing them and moving them into active inventory. You can estimate costs, compare valuations, collaborate with your team, and make structured purchase decisions — all within one system.

You will learn:

  • How to create a pre-stock asset

  • How to enter valuation costs and estimated sales prices

  • How to manage evaluation statuses

  • How to approve and move a machine into active stock


Step-by-step Instructions

Creating a Pre-Stock Asset

  1. Go to Admin.

  2. Click Add Machine.

  3. Configure the machine categories exactly as you would when adding an active stock machine:

    • Select the Main Category.

    • Select the Subcategory.

    • Select the Type.

  4. Click Create Pre-Stock.

  5. Fill in the machine details.

Understanding Pre-Stock Status Tags

The pre-stock feature introduces dedicated status tags:

  • To Be Evaluated – indicates the machine requires valuation.

  • Evaluated – signals that the financial assessment is complete and ready for managerial review.

  • Rejected - the asset will not be purchased.

  • Accepted - the valuation is accepted and the machine will be purchased.


Entering Valuation and Financial Details

  1. Open the machine.

  2. Go to the Financials tab.

  3. Locate the Valuations section.

Here you can enter:

  • Purchase price

  • Estimated sales costs

  • Other related expenses

To add costs:

  1. Click Add More.

  2. Fill in the details.

  3. Click the minus (-) sign to mark the amount as a cost.

You can also:

  • Add the Estimated Sales Price.


Understanding the Calculations

At the bottom of the valuation section, you will see:

  • Trade-In Price – the recommended purchase price based on your valuation.

  • Bookkeeping Value – the value of the machine in stock (Estimated Sales Price minus Sales Costs).

These figures help you determine whether the purchase is financially viable.


Downloading Valuations for Internal Review

You can download the valuation file (PDF or CSV) directly from the Financials section.

This allows:

  • One sales contact to complete their valuation and download it.

  • The data to be cleared.

  • Another sales contact to enter their own independent valuation.

This supports internal comparison and structured decision-making.


Updating the Evaluation Status

Once the evaluation is complete:

  1. Return to the machine overview.

  2. Open the Status Dropdown Menu.

  3. Navigate to the Pre-Stock section.

  4. Select Evaluated.

  5. Click Save.

This notifies your manager that the machine is ready for review.


Manager Review & Decision

The manager can:

  • Review the Financials tab.

  • Check all relevant documentation.

  • Accept or reject the asset.

If accepted:

  • The team can proceed with purchasing the machine.


Moving the Machine to Active Stock

Once the machine is physically received:

  1. Open the machine.

  2. Change the status to an Active status.

  3. Save.

The machine will now appear in your Active Stock List.

From there, you can:

  • Publish it

  • Set the final sales price

  • Begin the sales process
