PDF Offers

Generate and send out customized PDF offers.

Using PDF offers allows you to send clear, branded, and up-to-date proposals directly connected to your live inventory. You can include machine-specific documents, trade-in information, and QR codes that link customers straight to the machine listing.

Step-by-step Instructions

Configuring PDF Offers

  1. Go to Admin.

  2. Click PDF Offer.

  3. Click Upload Logo to add one or more logos. This is useful if you operate multiple brands.

  4. Click Browse Files to upload additional company documents, such as terms and conditions or service lists. You can upload multiple files and edit their names and descriptions.

  5. Add machine-specific documents by navigating to the Machine Details Overview (private section) and scrolling to the bottom. Upload files like inspection reports that are relevant to the machine.


Creating a PDF Offer

  1. Go to Stock List.

  2. Locate the machine you want to include and click the three-dot menu.

  3. Select Generate PDF Offer.

Personalize the offer details:

  • Add an Offer Number (mandatory).

  • Set an End Date if the offer is time-limited.

  • Add the Offer Price.

    • Choose whether the price appears top or bottom of the offer.

  • Select the Currency.

  • Edit VAT Details, if required.

  • Choose the Offer Layout:

    • Detailed – includes all machine parameters

    • Minimal – shows only the most important parameters

  • Include a QR code by checking the box (optional) – links to the machine details online.

  • Select the Logo from the dropdown menu.

  • Add Offer Text and Trade-in Machine Information, if applicable.

    • Choose whether the text appears above or below the machine details.

  • Enable Machine Location Display, if needed.

Select recipients and attachments:

  • If the offer is personal, select the Company and Contact.

    • If they do not exist in CRM, click Create Here to add them manually.

  • Select any additional files to include in the offer (company-wide or machine-specific).

  • Choose the Sales Contact and address.

  • Check that all mandatory fields (marked with an asterisk) are filled in.

4. Click Save and Update Offer.


Finalizing the Offer

  1. Review your finished PDF offer.

  2. Click Download at the top or bottom of the page.

  3. Alternatively, you can generate QR stickers or create PDF offers directly from the Machine Details Page by clicking on the PDF offer logo.
